Effective October 1, 2026
StrideCore Systems, LLC ("StrideCore", "we", "us") makes StrideCore, a service for keeping horses' health, training and care records. This policy explains what we collect, why, who we share it with, and the choices you have. It covers the StrideCore web app at my.stridecoresystems.com, the StrideCore iPhone app, and this website.
The short version: a horse's record belongs to its owner. We use your information to run StrideCore for you, we share it only with the people you choose and the service providers that run StrideCore, and we never sell it or use it for advertising.
1. What we collect
Information you give us
- Account details: your name, your email address, and the roles you choose (for example owner, trainer, barn manager or barn staff). Professionals may add a business name, service area, specialities, a description and a photograph.
- Horse records: the horse's name, profile (such as date of birth, breed, sex, height, colour and disciplines), photographs and videos, health documents and the details on them, training sessions and notes, bookings, competition registrations and memberships, and barn information.
- Messages you send in StrideCore, and the replies you receive.
- Business records professionals keep in Operations, such as spend, receipts, supply orders, stock and budgets.
- Questions you ask in Ask (see section 5).
- Feedback and support requests you send us by email.
Information collected when you use StrideCore
- Sign-in records: when and how you signed in, handled by our sign-in provider.
- Device notification addresses: if you turn on notifications, a token that lets us send notifications to that phone or browser.
- Technical logs: error reports and request information (such as times, pages or features used, and response codes) that help us keep StrideCore working.
- Usage records for Ask: how many questions were asked and their cost to us, so we can keep within limits. Not the questions themselves.
Payment information
When you subscribe, payment is handled by Stripe. We receive your plan, its status and a customer reference. We never receive or store your card number.
2. How we use it
- To provide StrideCore: keep your records, show them to the people you've shared them with, deliver messages and bookings, and send the reminders and notifications you've asked for.
- To read documents you upload so you can confirm the details, and to answer questions you ask in Ask.
- To keep StrideCore secure, scan uploaded files for malware, prevent misuse, and fix problems.
- To manage your plan and payments.
- To reply to you, and to tell you about important changes to StrideCore or this policy.
- To improve StrideCore, using technical logs and the feedback you send.
We do not sell your information, share it for advertising, or use your records or questions to train artificial intelligence models.
3. Who can see it
- The horse's owner sees the horse's whole record and decides who else can see it.
- Professionals the owner connects (such as a trainer or barn manager) see what their role allows for that horse: for example the shared training record, or where the horse is kept. Health and financial records stay private to the owner. For competition, a professional sees whether each requirement is met, not the documents behind it.
- Barn staff see the barn work assigned to them. They never see money.
- People in a conversation see the messages in it.
- When an owner ends a connection, that person's future access stops. What was recorded while they were connected stays on the horse's record.
We may also disclose information if the law requires it, to protect the rights, safety or property of our users or others, or as part of a merger, sale or reorganization of our business, in which case this policy would continue to apply to your information.
4. Service providers
These companies run parts of StrideCore on our behalf. They may use your information only to provide their service to us.
| Provider | What they do |
|---|---|
| Microsoft (Azure) | Hosting, database, file storage, sign-in and one-time codes, email delivery, malware scanning, document reading, and the AI service behind Ask. All in the United States. |
| Apple | Delivers notifications to the iPhone app, and distributes the app. |
| Your browser's push service (for example Apple, Google or Mozilla) | Delivers notifications to a browser where you've turned them on. |
| Stripe | Processes subscription payments. |
5. Ask and certificate reading
Certificate reading. When you upload a document such as a Coggins, StrideCore uses Microsoft's document-reading service to fill in the details for you. Nothing is added to your horse's record until you confirm it.
Ask. When you ask a question, your question and the records needed to answer it are sent to Microsoft's Azure OpenAI service in the United States to write the answer. They are not used to train any model, and StrideCore does not keep the conversation. Microsoft may keep content its safety systems flag for up to 30 days for review. Answers can be wrong, and Ask is not a veterinarian: check the linked record, and call your vet about anything medical.
6. Where it's stored, and how long
StrideCore stores your information in Microsoft Azure data centers in the United States.
We keep your information while your subscription is active. If it ends, we keep your records for one year so they're there if you subscribe again. During the first 90 days, the professionals connected to your horses can still see what their role allows. Before the year is up, we'll email you, and then we delete the records. When you delete a record, or ask us to delete your account, we remove it from StrideCore. Copies may remain in our encrypted backups for up to 12 months until those backups expire. We keep backups so a mistake or failure can't lose your horses' records. We may keep some information longer where the law requires it, for example payment records.
7. Security
We protect your information with sign-in by one-time code instead of passwords, encryption in transit and at rest, access checks on our servers for every record, malware scanning of uploaded files, and access to our systems limited to the people who run StrideCore. No system is perfectly secure, and if we learn of a breach affecting your information, we will tell you as the law requires.
8. Your choices and rights
- Sharing: add or remove people from a horse's care team at any time.
- Notifications and email: turn device notifications and reminder emails on or off in Notifications.
- Access, correction and copies: you can see and correct your records in StrideCore, download original documents, and ask us for a copy of your information.
- Deletion: you can delete records in StrideCore, or ask us to delete your account.
To make a request, email support@stridecoresystems.com from the address you sign in with. We'll respond within 45 days, and we won't treat you differently for asking. If you live in a state with its own privacy law, you may have additional rights, and we'll honor them.
9. Children
StrideCore is not directed to children under 13, and we do not knowingly collect information from them. People aged 13 to 17 should use StrideCore with a parent's or guardian's permission. If you believe a child under 13 has given us information, contact us and we will delete it.
10. This website and cookies
This website (www.stridecoresystems.com) does not use cookies, analytics or advertising trackers. Our hosting provider keeps standard server logs. The StrideCore app stores sign-in information and a few preferences in your browser or phone so you stay signed in. We don't use them to track you across other sites.
11. Changes to this policy
If we change this policy, we'll update the date at the top. If a change is significant, we'll tell you in StrideCore or by email before it takes effect.
